HOW TO PRUNE THE GRAPEVINE

Communication is one of the most critical factors for the growth and the success of a company.  Effective vertical communication can be the highlight of successful institutions. At the same time, informal conversation, which is also mostly horizontal and directionless,  can rapidly convert into unwanted rumors, and misrepresentations of people and events.
Informal and unorganised communication, commonly referred to as Grapevine communication, is unofficial and personal as well. If left unmonitored or unchecked, it is likely to create a highly unprofessional or unproductive system.

Here are some tips on how to reduce the effects and spread of the grapevine in offices:
1. Many industry experts believe that poor communication is the best grapevine fertilizer. If the management fails to address the issues of downsizing and laying off employees, for example, rumours may spread about the nature of the company.
In order to bridge communication gaps, the following can be done-
- Critical areas for action and immediate revision can be pinpointed.
- A baseline ought to be created which measures success and progress efficiently.
- Employees should be engaged, and accountability should be promoted. Reward and        recognition also act as driving force, benefiting the company and maintaining a positive   ambience.
2. A general meeting or discussion segment should be organised once a week to air out common questions and concerns, which could help reduce the scope of misunderstanding within the staff, with the leadership and higher up. This practice also helps understand the employer’s perspective. Connecting with the goals and objectives of the employer cannot take place without clear communication and a sense of belonging.
3. It is necessary to identify the gatekeepers and liaisons, the two types of workers responsible for the spread of information. Gatekeepers and contacts are friendly, watchful of people and their movements and skilled at extracting and spreading the news. They are popular and hold power to influence large groups. It is necessary to identify and eliminate them promptly.
4. Periodic group meetings are important for every organisation since various teams, and particularly team heads, need to be aware of the happenings of the entire office. Some matters may be of specific address whereas others may be unnecessary intertwines of the grapevine. Both demand equal attention.
5. Avoid the unnecessary spin, as it would lead to miscommunication. Official matters and general code of conduct should be laid out clearly so that nothing is subject to misunderstanding. Clear and concise communication is quintessential for the systematic functioning of an organisation. Overall, the company will be more efficient and productive if the grapevine can be pruned.
